Avbokningsvillkor

Anmälan, inklusive eventuell hotellbokning, är bindande men kan överlåtas till annan deltagare.Ifall det är en avgift för konferensen är den ej återbetalningsbar. Vid överlåtelse efter anmälan är stängd debiteras en administrativ avgift om 300 kr + moms.

Ändringar

Du ansvarar för att lämna korrekta och fullständiga uppgifter vid registrering.

Vid ändring av felaktigt angivna uppgifter (t.ex. distributionssätt eller fakturaadress) debiteras en administrativ avgift om 300 kr + moms.

Alla avbokningar och ändringar ska ske skriftligen till Nordic Congress.

Inköpsordernummer

Om inköpsordernummer (PO-nummer) ska anges på fakturan, ska detta fyllas i fältet ”Referens” vid registrering av fakturauppgifter. Om PO-numret inte kan anges vid bokningstillfället ska Nordic Congress kontaktas via e-post samma dag som bokningen görs.

Fakturor som behöver utfärdas på nytt på grund av saknat PO-nummer debiteras en administrativ avgift om 300 kr + moms.

GDPR & Fotografering

Jag godkänner att mina personuppgifter behandlas enligt dataskyddsförordningen (GDPR).

De uppgifter som lämnas i samband med anmälan används för att administrera deltagandet samt för utskick av exempelvis utvärdering. Jag godkänner även att arrangörerna får använda e-postadress och kontaktuppgifter för information om framtida kongresser och liknande evenemang.

Under konferensen kan fotografering och filmning förekomma. Bilder eller filmer där du syns kan komma att publiceras på arrangörernas hemsidor, i sociala medier eller i nyhetsbrev.

Cancellation Policy

Registration, including hotel bookings, is binding but may be transferred to another participant. If there are fees associated with the registration, such as conference fees, social events, or accommodation, the participant is liable for the full amount of all applicable fees.
For registration transfers made after registration has closed, an administrative fee of 300 SEK + VAT will be charged.

Changes

You are responsible for providing accurate and complete information during registration.
In the event of changes to incorrectly provided information (e.g., distribution method or billing address), an administrative fee of 300 SEK + VAT will be charged. All cancellations and changes must be submitted in writing to Nordic Congress.

Purchase Order (PO) Number

If a purchase order number (PO number) is required on the invoice, this must be entered in the ”Reference” field when providing your billing details.
If the PO number cannot be provided at the time of booking, Nordic Congress must be contacted via email on the same day the booking is made. Invoices that need to be reissued due to a missing PO number will be charged an administrative fee of 300 SEK + VAT.

GDPR & Photography

I consent to my personal data being processed in accordance with the General Data Protection Regulation (GDPR).
The data provided during registration is used to administer your participation and for follow-ups, such as evaluations. I also agree that the organizers may use my email address and contact details to provide information regarding future congresses and similar events.

Photography and filming may take place during the conference. Images or videos in which you appear may be published on the organizers’ websites, social media, or in newsletters.

VAT RULES & APPLICABILITY

The Swedish VAT (Value Added Tax) rules for a physical congress imply that all delegates will be charged 25% VAT, but the VAT can be reclaimed in most cases (see info below). The VAT will be specified on the invoice. Hence, a valid VAT or tax registration number for your company/ organization must be provided with the registration.

Within EU

A valid VAT number is mandatory, and it is important that your number is stated exactly according to EU standards. Further documentation must be provided on request. To validate your number before registering, please click here.

Outside EU

A valid VAT number or equivalent tax registration number is mandatory. Any further documentation should be provided on request.

Delegates from Sweden

For Swedish delegates, representing a Swedish legal person or organization, the VAT will be handled according to normal Swedish VAT rules.

People attending privately

(not representing a taxable person)
Any person attending privately without representing a company/organization are required to pay VAT (25%) in addition to the registration fee.

How to reclaim Swedish VAT

Within EU 

For delegates representing a company/organization from an EU country, their company/organization can reclaim the VAT through an EU electronic mechanism. For this reason, a valid VAT-number must be provided with the registration. The rules applicable for other EU countries can be studied in this Swedish Tax Agency link.

Outside EU

For delegates from outside the EU, the possibility for their company/organization to reclaim VAT also exists. Also, in this case, a valid VAT number or equivalent tax registration number is mandatory. The rules can be studied on the Swedish Tax Agency website on VAT refund and the form for VAT return can be downloaded here. Local regulations in the participant’s country of residence may also apply in addition to the Swedish VAT rules.
