The Customer is the legal or physical person liable for payment to UMEÅ CONGRESS
UMEÅ CONGRESS refers to Umeå Kongressbyrå AB, org. nr. 556497-1413
Order Value
Order refers to the total value of the agreed price, excluding taxes, according to the confirmation. It is the sum of all services ordered by the Customer. For example, this is the sum of the number of participants multiplied by the agreed price per person plus any other items subcontracted on the Customers’ behalf, such as but not limited to food, entertainment, transportation, activities, etc.
Cancellation Policy
All cancellations must be submitted in written form to UMEÅ CONGRESS.
UMEÅ CONGRESS adheres to all individual suppliers’ cancellation policies. If a cancellation is made by the Customer that results in cancellations fees, the Customer is liable for these charges.
In the event of cancellation, UMEÅ CONGRESS charges 800 SEK per hour for any time that has already been accrued as well as any fixed costs, as specified in the confirmation.
Changes
UMEÅ CONGRESS reserves the right, if specified in the confirmation, to charge the Customer for the minimum number of participants if the specified minimum is not met.
If UMEÅ CONGRESS’ fees are listed per person in the confirmation, then UMEÅ CONGRESS is entitled to receive payment from the Customer for all paying participants regardless if fewer participants attend the event.
Payment
The Customer is responsible for all costs incurred according to the order. If participants are to pay something individually, UMEÅ CONGRESS must be notified in advance and give approval beforehand.
Payment is to be made upon agreement between UMEÅ CONGRESS and the Customer. All invoices sent by UMEÅ CONGRESS are to be paid within 30 days of the invoice date. There is a 50 SEK service charge added to all invoices.
If the payment deadline is exceeded, UMEÅ CONGRESS is entitled to charge interest on late payments.
UMEÅ CONGRESS may request advance payment. In the event advance payment is requested and not paid within the agreed time frame, UMEÅ CONGRESS reserves the right to cancel the contract. In the event of a cancellation incurring cancellation fees, the advance payment shall be deducted from the total amount due.
Reservation for Price Changes
If price changes occur, due to increases in taxes, devaluation, market fluctuation, governmental decisions, or similar circumstances, UMEÅ CONGRESS is entitled to charge a price supplement that corresponds to the increase in costs. UMEÅ CONGRESS is obligated to immediately notify the Customer if any price increases are made.
Force Majeure
Strikes, lockouts, fires, natural disasters, government issued bans, or any other circumstances beyond UMEÅ CONGRESS’ control that justify cancellation of the event provide UMEÅ CONGRESS with the right to terminate the contact without obligation to pay damages.
Ethical Agreement
By accepting these terms and conditions, the Customer certifies that they respect and support the basic principles of equality.
Such events and gatherings that include illegal activities or have lecturers or other types of information that bring forth xenophobic, racist or other offensive content may not be conducted. The Customer is required to truthfully state the contents and orientation of the event. Violation of this rule is considered a breach of contract and gives UMEÅ CONGRESS the right to immediately terminate the agreement. Costs incurred in connection with the cancellation of events on this basis are to be incurred by the Customer.
Liability and Insurance
The Customer is responsible for all damages incurred that may intentionally or negligently arise before, during or after the event.
The Customer is responsible for providing and maintaining the necessary liability insurance for personal and property damage for their business and employees or any hired third party personnel.
